Now Hiring: Administrative Assistant / Bookkeeper

Array is looking for a highly organized, detail obsessed, friendly self starter, for a career position working in Marketing. Candidate should have education or experience with Sage 50 Accounting and be ready to roll on entering invoices, reconciling, payroll, and tax remission.

This is a full time position, Monday to Friday / 32 to 35 hours per week. Salary is negotiable starting at $32,500 annually, and benefits are included after a probationary period. Please come prepared with a salary ask according to your skills and experience.

General Administrative Duties:

  • Answering inquiries via phone, email or in-person
    • Taking Messages & Booking Meetings when required
  • Greeting Clients & Guests
  • Shipping Coordination for Various Packages
  • Misc tasks as required for various teams within Array
  • Staff Party Strategizing & Planning
  • Office Cleanliness & Errands – Purchasing Office Supplies (Access to a Car Desirable)

Bookkeeping Duties:

  • Manage Accounts Receivable
    • Create and Send Client Invoices
    • Processing Customer Payments
    • Manage & Process Monthly Contract Accounts
    • Prepare & Do Bank Deposits
    • Regular Past Dues Follow Up
  • Assist with new project entries into project management software
  • Assists with Accounts Payable
  • Prepare all Taxes for Filing (PST & GST)
  • Maintaining updated records of invoices & receipts
  • Monthly Account Reconciling (Bank & Visa)
  • Bi-weekly payroll
  • Managing Staffs Benefit Enrollments
  • Coordinate with Management and Accountant to recommend improvements in quality of accounting

Project Management Duties:

  • Support project management & business development with a portion of existing client base including:
    • Quoting on new work requests
    • Troubleshooting and minor technical support
    • Upselling new features and industry standards evolve
    • General CMS support
    • Representing Array in the community and at various events

Education & Experience:

  • Post secondary education in accounting or business an asset
  • Sage 50 experience or training or 1+ years experience in bookkeeping
  • Active and familiar with various social media platforms
  • Familiarity with WordPress Content Management System an asset

Required Qualifications:

  • Strong communication skills both oral and written;
  • Excellent attention to detail and accuracy;
  • Works well in a positive team environment
  • Comfortable working independently within deadlines
  • Proficient in Microsoft office and/or Google docs
  • Proficient in Sage 50
  • Must have knowledge of WCB, GST, Payroll deductions, and other government reporting.
